As a forewarning. This is long. I am breaking it down into a few different replies for easier searching. Please don't quote these front posts, I will have notifications turned on for this.
Summary
To offer another level to our current competitions by offering an event mock-up. I have also offered basic guidelines, different levels and easy-to-follow pot awards.

Things To Keep In Mind
This is a basic formula set up. Any host can change any of the basic guidelines to suit their preferences. Please remember to make note of such changes on the event page.
Also, the most involved part of this, the part that takes the most time to complete, is the computation of points for each competition entered. When I ran the tests, I had to go over the results on the Alpha Class test twice and the Beta Class test three times. I found it easier to jot down the positions of each horse, then afterward, count up the points. A spreadsheet would likely work best for this part. As a person continues to host this style of events, such point calculations will become easier through repetition.
As a last note, if our admins enable us to send money directly, the transfer of invitational fees would become a lot smoother and quicker.

General Guidelines

Concerning Entrants



Entrants must enter in the first competition to qualify, this is recognized as the Event Entry competition.

Entrants must only enter qualifying first event (the Event Entry competition) to be eligible for cup prize at the end. Which means they can skip all additional competitions in the event and still be eligible for a prize at the end of the event.

If entrants wish to participate without paying the event entry fee up front, their fee will be divided into all the competitions equally plus a 10% penalty on the entry fee (the host can but is not required to wave this penalty fee; an entrant cannot ask for the 10% penalty fee to be waved, no exceptions). This will be called an official discounted entrant or an official percenter entrant (adversely an entrant paid upfront is simply called an official entrant). The formula to define what this type of entrant must pay begins with the event entry fee multiplied by the 10% penalty, then added back into the event entry fee. This is the total entry fee plus the penalty the entrant will end up paying. Take this total entry fee and divide it equally by the number of competitions the event has (always round decimal numbers down to ensure the penalty is never more than 10 %). This final number is what the entrant must pay for each entry.

The percenter entrant does not in fact, save money by using this 'discount entry', but it can serve to allow them to make enough money to fund the next entry, and so on. Those that do not have immediate funds for the entire entry fee for the event, may find that using the discount entry service allows them to still participate in an event that is otherwise generally out of reach. The reason that there is a penalty is because additional transactions must occur before each competition, or a different type of transaction must occur before the event runs that is entirely separate and different then the other entrants.

It is left for the host and the individual entrant to offer a non-conventional entry fee per competition if the entrant wishes to pay off the event entry fee over fewer competitions (for example, instead of paying the event entry fee over the total 6 competitions for the event, the entrant can pay it over the first three of the total 6 or the first two, or the first four). However this can only be offered over the first competitions running and not the last of the competitions running or some form therein (an example that is not allowed would be the entrant asks to pay the fees on the third, fourth and fifth competitions of a 6 event spread).

All entrants will receive an invitational to succeeding events but must enter each succeeding invitational to receive additional invitations. If one invitational is missed or skipped, the entrant forfeits their full, partial, or discounted entrant fees thereafter, but DOES NOT forfeit their event entry. They must thereafter pay the non-entrant entry fee for all other event competitions they wish to enter.

In the event that an invitational is missed due to force-run of the competition before the entrant can enter and NOT missing the set-run time, the host reserves the right to either re-run that specific event or apply a 'last place' point addition to the missed entry. Which decision to be taken, should be stated in the notes of the event BEFORE the event is scheduled to run to aid in understanding of an accidently missed invitational.

An entrant can have a sponsor, but solely at the discretion of the host. However, all sponsorship deals will be solely between the entrant and sponsor and not the host. This will be how the second account will be handled if both farms are owned by the same player. To accomplish this sponsorship, the sponsor will receive an event transfer horse(s) from the entrant by paying the full or partial fees to be sponsored directly to the entrant. Thus the Entrant becomes a Partially Sponsored Entrant or a Fully Sponsored Entrant. A Partially Sponsored Entrant is an entrant that either has part of the Event Entry fee paid or the full Event Entry paid. A Fully Sponsored Entrant is an entrant that has the full Event Entry paid AND all of the Invitational fees paid. In the case of the Fully Sponsored Entrant, the host will receive the event transfer horse(s) for each invitational that the entrant remains qualified for, directly from the sponsor And Not from the Entrant. How the sponsor and the entrant decides to work the sponsorship deal is solely between the entrant and sponsor and NOT the host.


Concerning Hosts

All invitationals to qualifying entrants will consist of a payoff of entry fees for each competition in the event, based on the event rules as offered by the host or defaulted guidelines as outlined here. This is to be offered by a gift of money transfer. Until the time that our admins allow direct money transfers, such a transaction must happen by an unwanted or unneeded horse. The horse can be named as the event and with notes indicating the horse or horses entered (or a link to said horse) and sent only by the owner of the horse or horses entered. This information should also to be noted on the forum page in the hosts preferred breakdown. These event transfer horses will be left to the host to determine how they will be handled, whether it is age out, rehome or otherwise re-purpose. It is also at the host's discretion to double transfer a horse back to the original owner after the invitational has been sent.

At the discretion of the host, an entrant can have a sponsor, but need only be noted on the event forum IF the entrant is a Fully Sponsored Entrant (sponsorship can be anonymous but all sponsorship deals will be solely between the entrant and sponsor and not the host). This will be how the second account will be handled if both farms are owned by the same player. These will be known as a Partially Sponsored Entrant or a Fully Sponsored Entrant. A Fully Sponsored Entrant is an entrant that has the full Event Entry paid AND all of the Invitational fees paid. In the case of the Fully Sponsored Entrant, the host will receive the event transfer horse(s) for each invitational that the entrant remains qualified for, directly from the sponsor And Not from the Entrant. How the sponsor and the entrant decides to work the sponsorship deal is solely between the entrant and sponsor and NOT the host. A Host cannot sponsor any entrant, including themselves. However, as long as all guidelines are followed, a Host is allowed to enter horses from a second account as an official entrant.

These guidelines allow only two ways to enter into the Event Entry competition and therefore into the event itself. One is to pay the entry into event up front (by simply entering the Event Entry competition), or by paying part of the entry fee into each invitational. This is left solely at the discretion of the host to accept the second option.

Event purses total (not including the first entry competition) should be within 5 percent of the event purse of minimum entries for the event to run and not minimum entries for each competition to run, but how purses are divided is left up to the host. Which means, the total combined purses of each competition (excluding the Event Entry competition) should equal to within 5% of purse offered at end of event. In this way, the gains and losses section will mathematically work out. This is just a guideline however, if the host decides to change the competition purses total (NOT the event purse total), then the host takes full responsibility on the gain or loss they may receive.

Certain events can be linked for a 'Legacy Crown' or 'Cup Win' (for instance events held in separate western Event sets or western Mini Events can earn a 'Western Legacy Crown' or a 'Western Cup Win') if the event host runs rolling or regular events and states a linked top prize. So a 'Legacy Crown' does not need to be a separate set of invitationals.

The final event purse to be divided among all participants uses the following formula: top 20% receives 40% of the total purse, upper 20% receives 25% of the total purse, mid 20% receives 15% of the total purse, lower 20% receives 10% of the total purse, bottom 20% receives 5% of the total purse. With the leading pointed horse also receiving the last 5%. So for entrants, they are guaranteed to receive back at least 25% of their original fee (if entry is paid upfront and not including earnings from invitationals). For uneven entry numbers, top tiers are given preferential equalized amounts until the bottom tiers are also equaled (for example, if there is 14 entries, the tier at the top consists of first and second only and the last all include three horses apiece. If there are 13 entries, the top tier consists of first and second and the next tier consists of only third and fourth, leaving the final tiers to have three horses apiece).

Points are awarded to entrants only and where they place among other entrants without regard to non-participant entries (for example, if the entrants place 1,3,7,9,11 in an invitational of 20 total participants, 3,7,9 and 11 placed horses, still earn the points for being second, third, fourth and fifth respectively as official entrants in their event). Point scale has been added for minimum entrants of 5 to maximum covered of 20. Entrants beyond this number, point scaling is left to the host to describe.

Final Event Purses should be finalized and offered to all participants within three days of the event end date as stated on the host page, or within three days of the final competition run date if there is no event end date offered.

Hosts are asked to link all competitions for events on the front page of their event forum within an hour of being posted to keep it fair for all possible entrants.

Hosts are solely responsible for running a delayed race (previous or other current hosts are herein asked to offer one entry and be limited to two entries to assist in exchange for assistance if or when they might have need). It is advised to seek out a co-partner host to play this part in exchange for the same duel job when they host, or simply avoid those competitions that allow only one entry per farm. A co-host can be the host's secondary account, but be aware only two accounts are allowed.

There should be a maximum of fourth day run on incomplete competitions. The host MUST force-run late competitions to keep events moving in a smooth and consistent manner.

If an event has co-hosts (please limit co-hosting to no more than three), please acknowledge who has what task for the event. If a co-host is only offered to run a delayed event, they can be offered a name such as 'race delay co-host'. In this case the primary host need only be named. If the event is hosted by one farm but the monies handled by another, it is very important that such co-hosting be defined (Hosted by: Farm Name One; Hosting Treasurer: Farm Name Two). To help ensure that both the entrants and the hosts all understand who does what and where the monies are going to and coming from.

All rule disagreements for hosted shows will be handled by a volunteer group of previous hosts and ruled upon by simple majority with either a full reimbursement, partial reimbursement or no reimbursement of entry fees alone. Previous rulings Should Not factor in. Each disagreement should be viewed and valued separately.

All official entrant entry fees received at the beginning of the event (but not penalty fees) will go toward the purse at the end of the event.

And Finally: A Host cannot participate their own horse in their own hosted event; however, horses can be entered if not kept on their farm with the understanding that the other rules are also followed (the host cannot sponsor their own horses, like they cannot sponsor other entrants). This Does Not cover invitational competition.

Summary
I've designed a general guideline for three different types of Events. They are designed in such a way for a trial-experience, as well as a style for the seriously involved and also to be used in conjunction with one another if so desired.

The Three Types

Trial or Mini Event

This system called the Trial Event or Mini Event.
It's designed to be held in one set of ten or less levels and only in one event. Quite small, in fact, this is the style I used to test the project. From beginning to end (if I don't include the waiting and workup involved outside of what would be a Mini Event), I think it took me all of 2 hours total. This includes the scheduling of the competitions (I had separate events for the Alpha Class set and the Beta Class set), figuring the points, posting the horse's for transfers and calculating the awards. This actually sounds like a long time for an event like this, but one must remember, this is the first time I did this, so I needed to go over my work.

Event or Regular Event

This system called an Event or a Regular Event.
This system is a 'single run' event, which means it stands alone or that it is reoccurring without basis on previous or future events.
It's designed to be held in one set of ten competitions to three sets of ten competitions and from one type of competition to up to three different types of competitions in a designated 'triple crown' styled set. Such as, a horse can enter ten competitions of Reining, ten competitions of Western Pleasure and ten competitions of Ranch and earn a 'Western Triple Crown'. Or just one set of ten competitions in just Western Pleasure and earn a 'Western Pleasure Cup'.
The difference between this type of event and the Mini Event (other than the amount of competitions), is that this type of event is designed to be a rolling type or reoccurring type, as in held every week, etc... while the Mini Event is a one time type. Of course, the host can alter this design to create a Mini Regular Event, with less then ten competitions, but that is, of course, left up to the discretion and ideals of the host.

Legacy Event or Discipline Event or Take All Event

This system called a Legacy Event, a Discipline Event (english, western, etc) or a Take All Event.
This system is held on three sets of ten minimum competitions with a maximum of lifetime and at least two events with no maximum. Considering that some of our horses are kept frozen, I have added an amendment of: earliest dying entrant. When one of the entrants passes on, at that time, all of the entrants are counted up and the Event at that time is officially closed.
As an example of this, take two horses that are both good in Steeplechasing and Spring Racing. When one officially retires to the greener pastures, the standing counts of both of these horses is added together and the event will decide which one takes the first and which one takes the second in a Legacy Crown. Any competitions that come in afterward are no longer eligible.
This system is designed to be in conjunction with multiple events. Such as, this Event type doesn't need to be a stand alone or even set up and run, but instead can pull from Regular Events or even Mini Events that have been run by the same host. But this should be stated as the end destination, not after all the Regular Events and Mini Events have already run. As an example, the host runs western styled events and english styled events throughout the month, but at the end of the month, an overall Take All Crown can be awarded for any horse that has participated in both styles of events.
If being run as a stand-alone style that does NOT draw from Regular Events or Mini Events, then the competitions used can be related, but should still fall outside of the 'Event or Regular Event' definition (otherwise it's more appropriately defined as a Regular Event).

Now some additional information that effects all of these.
Each event must have equal levels and run amounts (for example if your event covers sprint racing and regular racing and you have two sprint races at level 2 and 3 then you must also have two regular races at level 2 and 3). This helps to keep the playing field fair.

The Two Classes

Summary
I have designed this Event Project to work under two different classes. The Alpha Class and the Beta Class. I have done this to aid the host in the funding of these events.

So the following is a breakdown of the two classes to further aid in understanding and in choosing which is more appropriate for each individual host.

Information on the Two Classes

Each event must have non-entrants participate in the invitationals to finish funding the event (to at least allow the host to break even). To offset this, entry fees can be discounted for all entrants instead of only funding each invitational pot. These are known as Alpha Class & Beta Class.

For Beta Class, the formulas are as follows: The Official Entrant fee is the starting purse of that particular invitational divided by 8 and then multiplied by 2. For Non Entrants, the fee is the starting purse of that particular invitational divided by 3 and then multiplied by 2. For Beta Class Official Entrants, the invitational each official entrant gets for each qualified entry is half of the invitational entry fee of that invitational. I have it worked out below, feel free to use the easy mock-ups. I can also add more if there is interest in different amount breakdowns.

For Alpha Class, the formula for the fee for Non-Entrants is the starting purse of that particular invitational divided by 5 then multiplied by 2.

If there are NO non-entrants in the Alpha Class invitationals for the event, the host can expect the loss to be about 1.5 times the total purse of the event. To come close to breaking even, there must be about 1.5 non-entrants to every entrant.

If there are NO non-entrants in Beta Class, the host can expect the loss to be about 40% of the total event purse. To come close to breaking even, there must be about 1 non-entrant for every 2 entrants.

The two preceding comments are assuming that my math and the results of the test withstand the large Legacy Events and also the tiny Mini Events.

As a final reminder, in both classes, each Official Entrant (as long as they don't miss an invitational) receives back half of their entry fee for each competition, NOT including the entry into the event competition (the Event Entry Competition). The other half of the entry fee is applied directly into the pot for that individual invitational.

Awards Breakdown

Summary
This is a simple-use breakdown of awards to be handed out at the end of the event. Set up in such a way that all you must do is find the incremental entry fee you used for the event, then locate how many entrants you had.

The Sum is a running total to visually see the breakdown and the 'Leftover' is the amount that goes to the top pointed horse.

Examples & Mathematical Formulas

Summary
For those that choose to do their own math, or for figures that are outside of what I've already covered, these are the formulas.

Percenter Entrant Formula
((Event Entry Fee x 10%) + Event Entry Fee) ÷ 5

Alpha Class Formula
Non-Entrant Invitational Entry Fee = (Starting Purse) ÷ 5 x 2

Beta Class Formulas
Entrant Invitational Fee = (Starting Purse) ÷ 8 x 2
Please Note: Half the Entrant Invitational Fee is the Invitational that is returned to the Entrant
Non-Entrant Invitational Entry Fee = (Starting Purse) ÷ 3 x 2

Award Breakdown Formula
40% = (Pot Total) x (40%)
25% = (Pot Total) x (25%)
15% = (Pot Total) x (15%)
10% = (Pot Total) x (10%)
5% = (Pot Total) x (5%)
Leftover that goes to highest pointed horse = (Pot Total) - (Sum of 40%, 25%, 15%, 10% & 5%)

***It feels like I missed a formula or two, but I can't think of them or find them on the spreadsheet right now.
